CONSENT TO DATA PROTECTION AND USE OF DIGITAL DATA
With your consent you have access to your digitized data.
Please take note of the following implementation and data protection information.
Implementation Notes:
- The documents are made available via the Mitarbeiterportal.
- You can access the portal from private or business devices (PC, notebook, tablet,
smartphone) via the internet (portal.ifw-kiel.de).
- You sign in with your IfW e-mail address (user name) and a password.
- When you log in for the first time, you must assign a new password.
- If you have forgotten the password, you can restore the password yourself by answering
two self-assigned security questions. If the password is entered incorrectly three times,
the Mitarbeiterportal will be blocked.
- You can print out, save or delete the documents from the portal.
Storage on a device provided by the IfW is not recommended.
- Documents in the portal are deleted after 5 years. To ensure that nothing is lost,
you will receive a notification via the portal one month before the deadline.
- After termination of the employment contract, you have 3 months continued access to
the documents. Your access to the portal will then be deactivated. Data stored in the portal
will be deleted. Should, at a later date, relevant documents for you (e.g. correction notification
on social security) be generated, they will be sent to you by IfW HR management.
- If you withdraw this declaration of consent, your access to the system will be deactivated.
The stored data will be deleted after one month.
Data Protection Notice:
- The IfW is responsible for processing your personal data in the portal.
- If you have any questions about data protection, please contact the IfW's data protection officer,
(datenschutz@ifw-kiel.de).
- According to the GDPR, you have the following rights with regard to the processing
of your personal data:
- Right to information (Art. 15 GDPR)
- Right to correction (Art. 16 GDPR)
- Right to deletion (Art. 17 GDPR)
- Right to restriction of processing (Art. 18 GDPR)
- Right to data portability (Art. 20 GDPR)
- Right to object (Art. 21 GDPR)
- Right to lodge a complaint with a supervisory authority (Art. 77 GDPR)
You can revoke your consent to data processing at any time with effect for the future.
- We would like to point out that the combination of your email address and password enables
access to very confidential data. Therefore, please make sure that only you have knowledge
of the access data and do not pass this information on to anyone. Nobody from IfW or
BEGIS will ask you for your password.
- IfW processes your personal data exclusively in connection with your employment
relationship / for the preparation of the payroll and in compliance with the technical
organizational measures documented in the above implementation and data protection
information and in compliance with the specified deletion periods.
Consent:
I have read and understood the implementation instructions and the data protection information
for the declaration of consent to the digital provision of pay slips and certificates.
With my consent, I agree to the use of the portal and the digital provision of my pay slips
as well as the income tax certificate, social security report and, if applicable, VBL reports.
I know that I can revoke my consent at any time without incurring any disadvantage.
Instead of using the portal, I will receive the above-mentioned documents in paper form
after my revocation.
